This Privacy Policy is a translation of the original Japanese version. In the event of any discrepancy between this English translation and the Japanese original, the Japanese version shall prevail.

CQ Lab (General Incorporated Association) (hereinafter referred to as the “Company”) provides various services to nurture human resources capable of thriving globally through the promotion and advancement of CQ (Cultural Intelligence). The Company’s services include, but are not limited to, the following:

• Training business
• Coaching business, including holding training and seminars related to coaching
• Consulting business
• Management and operation of member communities
• Publishing business

The Company hereby establishes this Privacy Policy (hereinafter referred to as the “Policy”) regarding the handling of personal information and other related data of customers acquired in the course of providing these services as follows:

1. Personal Information

“Personal Information” shall refer to “personal information” as defined in the Act on the Protection of Personal Information (hereinafter referred to as the “Personal Information Protection Act”). It refers to information regarding a living individual that can identify a specific individual by name, address, telephone number, email address, or other contact information or descriptions contained in such information. This also includes data related to physical appearance or voiceprints (such as recordings via Zoom, etc.) that can identify a specific individual from that data alone (personal identification information).

2. Methods of Collecting Personal Information

The Company may request personal information such as name, address, telephone number, email address, bank account number, and credit card number when customers apply for or cancel the Company’s services. In addition, transaction records and payment information containing customers’ personal information made between customers and our partners may be collected from the Company’s business partners (including event marketing sites, information providers, advertisers, and ad distribution destinations; hereinafter referred to as “Partners”).
Furthermore, when holding events online or through similar means, the Company may record appearance, voiceprints, and other details through recording or photography via event distribution tools (such as Zoom).

3. Purpose of Use of Personal Information

The Company will use the name, email address, and other information related to individual customers provided by customers (hereinafter referred to as “Personal Information, etc.”) within the scope necessary for the following purposes, and will not use it for any other purposes without the customer’s consent:
(a) To provide the Company’s services
(b) To send notifications regarding the Company’s services and information on related services
(c) To provide information regarding events and programs hosted (organized, co-hosted, or sponsored) by the Company
(d) To request participation in the Company’s questionnaires/surveys and to improve service development
(e) To respond to inquiries, requests for documents, and other requests
(f) For purposes incidental to the purpose of use of the Company’s services
(g) For other purposes consented to by the customer in advance

4. Provision of Personal Information to Third Parties

The Company will not provide personal information to third parties without obtaining the prior consent of the customer, except in the following cases. However, this excludes cases permitted under the Personal Information Protection Act and other applicable laws and regulations:
(a) When it is necessary for the protection of human life, body, or property, and it is difficult to obtain the consent of the individual
(b) When it is particularly necessary for the improvement of public health or the promotion of the sound growth of children, and it is difficult to obtain the consent of the individual
(c) When it is necessary to cooperate with a state organ, a local government, or a person entrusted by them in executing affairs prescribed by laws and regulations, and obtaining the consent of the individual risks impeding the execution of such affairs
(d) When the following matters have been notified or announced in advance, and the Company has notified the Personal Information Protection Commission:
Inclusion of provision to third parties in the purpose of use
Items of data provided to third parties
Means or methods of provision to third parties
Cessation of the provision of personal information to third parties at the request of the individual
Method of accepting the individual’s request
The Company will not provide personal information to third parties without obtaining the prior consent of the customer, except in the following cases. However, this excludes cases permitted under the Personal Information Protection Act and other applicable laws and regulations:
(a) When the Company entrusts the handling of personal information, in whole or in part, within the scope necessary to achieve the purpose of use
(b) When personal information is provided due to the succession of business resulting from a merger or other reasons
(c) When personal information is shared and jointly utilized with a specific person, provided that the individual is notified in advance or the individual is placed in a state where they can easily know the fact, the items of personal information to be jointly utilized, the scope of joint users, the purpose of use of the users, and the name or designation of the person responsible for the management of the personal information
(d) When it is necessary to cooperate with a state organ, a local government, or a person entrusted by them in executing affairs prescribed by laws and regulations, and obtaining the customer’s consent risks impeding the execution of such affairs
(e) When personal information is provided to a recipient or an information collection module provider in accordance with the aforementioned item (d)
(f) Other cases permitted under the Personal Information Protection Act and other applicable laws and regulations

5. Change of Purpose of Use

The Company shall change the purpose of use of personal information only when it is reasonably recognized that the purpose of use after the change is relevant to that before the change.
In the event that a change is made to the purpose of use, the Company shall notify the customer of the changed purpose through the method prescribed by the Company or announce it on this website.

6. Disclosure of Personal Information, etc.

When requested by a customer to disclose Personal Information, etc. based on the provisions of the Personal Information Protection Act, the Company shall disclose it to the customer without delay after confirming that the request is made by the customer themselves (if the Personal Information, etc. does not exist, the Company will notify the customer to that effect). However, this shall not apply if the Company does not bear an obligation to disclose under the Personal Information Protection Act or other applicable laws and regulations. If any of the following apply, the Company may decide not to disclose all or part of the information, and if a decision is made not to disclose, the Company will notify the customer to that effect without delay:
(a) When there is a risk of harming the life, body, property, or other rights and interests of the individual or a third party
(b) When there is a risk of causing significant impediment to the proper implementation of the Company’s business
(c) When it would violate other laws and regulations
However, this shall not apply if the Company does not bear an obligation to disclose under the Personal Information Protection Act or other applicable laws and regulations.
Please note that a fee (1,000 yen per request) will be charged for the disclosure of personal information.
Notwithstanding the provisions of the preceding paragraph, information other than personal information, such as historical information and characteristic information, will not be disclosed in principle.

7. Correction and Deletion of Personal Information, etc.

If the personal information held by the Company is incorrect, the customer may request the Company to correct, add, or delete the personal information (hereinafter referred to as “Correction, etc.”) in accordance with the procedures prescribed by the Company.
If the Company receives a request from the customer under the preceding paragraph and determines that it is necessary to respond to the request, the Company shall perform the Correction, etc. of the personal information without delay.
If the Company performs the Correction, etc. based on the provisions of the preceding paragraph, or makes a decision not to perform the Correction, etc., it shall notify the customer to that effect without delay.

8. Suspension of Use of Personal Information, etc.

If requested by a customer to suspend the use of or erase their personal information (hereinafter referred to as “Suspension of Use, etc.”) on the grounds that it is handled beyond the scope of the purpose of use or has been acquired by wrongful means, the Company shall conduct the necessary investigation without delay.
If it is determined based on the investigation results in the preceding paragraph that it is necessary to respond to the request, the Company shall perform the Suspension of Use, etc. of the personal information without delay.
If the Company performs the Suspension of Use, etc. based on the provisions of the preceding paragraph, or makes a decision not to perform the Suspension of Use, etc., it shall notify the customer to that effect without delay.
Notwithstanding the preceding two paragraphs, if the Suspension of Use, etc. requires a large amount of cost or if it is otherwise difficult to perform the Suspension of Use, etc., and alternative measures necessary to protect the rights and interests of the customer can be taken, the Company shall implement such alternative measures.

9. Changes to the Privacy Policy

The contents of this Policy may be changed without notice to customers, except as otherwise provided by laws and regulations or in this Policy.
Unless otherwise specified separately by the Company, the revised Privacy Policy shall take effect from the time it is posted on this website.
